What is Lockbox?
Lockbox is a post office box at a regional mail center opened in the name of the depositor but accessed and serviced by a third party national lockbox processor. They process incoming payments and prepare the company deposits. This is done at a certain time of day and in a certain manner to expedite the conversion of the company’s accounts receivables into available funds.

How does Lockbox accelerate the conversion of receivables into available funds?
Lockbox greatly reduces mail, processing and collection float therefore expediting deposit preparation. By collapsing the time period in which checks are deposited in the bank, companies improve their cash flow.

What type of company will Lockbox benefit?
Lockbox will benefit companies who:

  • Receive large dollar checks or checks from outside your local area;
  • Lack in-house personnel to process a large volume of checks;
  • Are unable to process checks for deposit on the day of receipt;
  • Are especially concerned with audit control.

If a company is located far from the Twin Cities, should they be concerned about a negative reaction from their customers to a Minneapolis payment address?
Consumers and business people are accustomed to seeing Post Office Boxes in cities different than the company's location. Those that note the different location will conclude that this is a company using innovative cash management techniques.

How does a company located outside Minneapolis receive accelerated available funds when their deposits are made to a Minneapolis PO Box?
A company should evaluate mail, processing and collection float when measuring the accelerated availability of funds. Mail float may not change for customers if payments are sent to Minneapolis, but the processing and collection float will usually improve with Lockbox.

Is there a certain dollar value or check volume necessary to determine whether or not Lockbox would be cost effective for a company?
The threshold for Lockbox cost effectiveness varies with each company's situation. Bremer has a reasonably priced Lockbox system, offering the basic advantages. We will work with a company to determine how cost effective Lockbox will be for the company’s needs through a cost benefit analysis.

You will receive an Image Lockbox User Guide and Daily Reference Guide. You can also access this information at www.bremer.com/imagelockbox.

Features and Functionality of Bremer Image Lockbox

What time is the information available on a daily basis?
Lockbox deposit images and daily totals are normally available for viewing at 7:30 a.m. daily.

How and when does a company obtain Lockbox totals each day?
Daily receipt information is available by 7:30 a.m. Monday through Friday. Deposit totals reports are available on the Reports tab within Image Lockbox.

How do I know what the funds availability is on my lockbox deposits?
A Daily Float Breakdown report is available from Business Client Services. Fees apply. Current day funds availability is viewable through online banking.

What information is available to export?
All data information captured through Image Lockbox can be exported and manipulated for reporting. The export is a *.csv file format.

How do I change the search results?
Search results can be changed by entering different criteria in the search fields or by selecting to filter certain criteria. The maximum number of rows can be changed from the default of 50 by changing the Maximum Rows Returned fields at the bottom of the search page or by clicking the Settings tab and then choosing Change Preferences.

How do I sort the search results?
Click the blue field header to sort search results using that heading. Click the heading again to switch between ascending and descending order.

Can images be printed or copied out of the system?
Yes. You can print images or save them to a pdf file and email/save a soft copy.

Can I view the remittance detail?
Remittance documents are available for viewing with each check image if requested at the time of set up.

How much history is available on the system?
Seven years of images are available and will be returned with your search results. Contact Bremer Business Client Services for older images.

Will I get the paper documents back in the mail?
No. One of the benefits of this product is to eliminate the daily mailing and storing of paper.

Converting

How does Image Lockbox compare to the paper-based processing?
Image lockbox processing is comparable to the paper lockbox product. Customers receive the benefit of same day access to improve resource capabilities. Courier costs and mail delays are also potentially eliminated.

Do we have to change Lockbox numbers when converting from paper to image?
We will make every effort to keep your existing lockbox number. However, depending on how your current lockbox deposits are processed, it may not be possible. Please contact Business Client Services at 1-800-537-0091 option 1 to determine if the lockbox number will need to change.

For an existing Lockbox client at Wells Fargo that chooses to move their accounts (and lockbox) to Bremer, do they need a new lockbox number?
We will make every effort to keep your existing lockbox number. However, depending on how your current lockbox deposits are processed, it may not be possible. A complete set of new lockbox documents will need to be completed. The Treasury Management Specialist will work with the appropriate operational areas to determine if a lockbox number change is required. This type of conversion may take longer to process.

Security

How do I install the Assurance Certificate?
Users are authenticated by an Assurance Certificate (also known as a digital certificate). Each user will accept Terms and Conditions and will receive an email containing their certificate and a password protected activation code. Bremer will provide each user with their password letter to open the activation code via mail and walk them through the installation process.

How do I securely log on and off of Image Lockbox?
To access the Image Lockbox application, users must select their digital certificate and key in the password created during installation. Once you have selected your digital certificate, you will be asked to enter your Image Lockbox User ID and password. Logging off is as simple as clicking on the logout button located in the upper right hand section of the screen.

What if I forget my Assurance Certificate password?
If you do not remember your certificate password, you will need to reinstall your assurance certificate. Please contact Business Client Services for assistance.

What if I forget my log in password?
If you do not remember your log in password, you will need to contact Business Client Services to have your password reset.

Why can’t I get logged in?
Verify the following:

  • you have entered the correct website address
  • your assurance certificate is installed on your computer
  • he assurance certificate has not expired
  • you are entering a valid User ID and password (they are case-sensitive)

What kind of entitlements are available for end users?
There are no specific entitlements. All users can view and export lockbox data.

Troubleshooting

Why can I not retrieve my images?
Verify that you have version 8.0 or greater of Adobe Acrobat and that you have entered valid search criteria to locate the desired item.

I am receiving an error message that says “The application is currently unavailable”.
Try to access the application later or contact Business Client Services to find out an approximate outage timeframe.
